The Project Coordinator is responsible for coordinating the physical relocation needs of all Maxim offices, as well as general oversight of all facilities related issues during continued office tenancy.

Essential Duties and Responsibilities:
  • Works with Landlords and Property Managers, as well as internal Maxim teams, to coordinate the physical relocation of FFE for all relocating, and closing offices
  • Ensures office relocations, openings, closing and other projects occur on time, within scope, and within budget
  • Ensures closed offices are completed per terms of the lease. Coordinates final walk through and any repairs as required per the lease
  • Purchase and coordinate the installation of One Maxim interior and exterior signage for all new, relocating and expanding offices
  • Develops AutoCAD space plans for all furniture, graphics and evacuation needs
  • Manages the relationship with pertinent external vendors to complete job responsibilities, including signage/graphics, HVAC, access control and other trades as necessary
  • Reviews, sets up, manages and tracks active maintenance agreements for all HVAC, and access control services
  • Assists Real Estate Managers in addressing and resolving any facilities issues during office tenancy
  • Assists the other Real Estate team members to ensure consistent level of service from the department
  • Adheres to all Maxim and worksite rules, policies and procedures
  • Performs other duties as required, assigned or deemed necessary by Maxim and/or the Real Estate Project Manager.
Minimum Requirements:
  • Bachelor’s degree required
  • At least three to five years’ experience in commercial real estate or facilities management
  • Basic understanding of lease terms
  • Advanced understanding of construction terms.
  • Demonstrates excellent verbal and written communications and public relations skills.
  • Excellent knowledge of Microsoft Office products and Autodesk/AutoCAD
  • Excellent organizational skills
  • Ability to handle multiple projects simultaneously
